Scorecard Template

PURPOSE

Tracking successes and identifying issues quickly is a key part of leading a software team to success.  Tracking metrics on a regular basis and reviewing with consistency in a regular cadence allows trends to be identified.

The data elements included in the Scorecard Template are the minimum standards for software teams according to the Clear Measure Way.

Setup

  1. The scorecard is formulated to track metrics on a weekly basis.  Modify the first date field in the first row to be the first day that you want to track.  The rest of the dates will change to reflect your tracking period for each week.
  2. Review the Metrics to confirm these are the metrics you want to track.  The scorecard should be modified to fit your team.  You may want to include the "Severity" ratings used on your project or the "Kanban Statuses" that you want to track.
  3. The Assignee field should be populated with the name of the individual that is responsible for filling in the value each week.
  4. Metrics are categorized by pillars.
  5. A Description is included to provide more detail about the metric and / or the formula to calculate the metric.  The video also has an in depth explanation of each metric.
  6. Target Direction indicates that the metric value desired is to be "less than or equal to" or "greater than or equal to" the Target Number defined by you.
NOTE:  If you change these, then there is a business reason why you are changing this direction.  You will want to go into the cells on that row from Column G to the last column and modify the Conditional Formatting.

      6. The Target Value should be determined for each metric.  This allows the team to see whether or not the week's metric(s) are on track or not.

NOTE:  Conditional formatting has been put in place to turn cells red or green based on the TARGET VALUE that has been added.
      7.  Store the document in a drive accessible to all the assignees.

Regular Review

Once the template is customized with the Target Values that are appropriate for your project, then the weekly fields should be populated prior to reviewing the scorecard each week.
  1. Give a deadline to each assignee to populate their fields each week.
  2. Review the data entered each week.  Fields that are RED should be points of discussion.  What needs to be done to get this datapoint to GREEN?  These issues should be discussed and a plan of action determined.
  3. Intermittently assess whether or not additional metrics need to be tracked in order to provide accountability to get the team moving in the right direction.

Metric Off Track?

  • Can it be explained? Do I understand why the number isn't where I want it to be?
  • Is it a one-time situation? Or is a trend evolving?
  • What needs to be done to get the metric back on track?
  • When can I expect it to be back on track?
  • Is there an issue that needs to be raised because I don't know how to get it back on track?
  • Is there someone else that needs to assist in getting this resolved?
